Definitions

Data Subject – an identified or identifiable natural person who can be directly or indirectly identified and whose Personal Data is processed by the association “Juglas Dzīvnieku aizsardzības grupa”.

Personal Data  – any information related to an identified or identifiable natural person (Data Subject); an identifiable natural person is someone who can be directly or indirectly identified, particularly by reference to an identifier such as their name, surname, personal identification number, etc.

Processing of Personal Data  – any operation or set of operations performed on Personal Data or sets of Personal Data, with or without automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure, or destruction.

This Privacy Policy has been developed to inform Data Subjects about the processing of Personal Data carried out by the association “Juglas Dzīvnieku aizsardzības grupa” in accordance with the requirements of the General Data Protection Regulation (hereinafter – Regulation) and to provide information about the Data Subject’s rights. The association “Juglas Dzīvnieku aizsardzības grupa” (hereinafter – the Association) is considered a controller under the Regulation, determining the purposes and means of Personal Data processing.

Types of Personal Data, Processing Purposes, Legal Bases, and Recipients

The Association primarily processes the following Personal Data: name, surname, phone number, email address, donation-related data included in the payment (name, surname, personal identification number, account number), and in certain cases prescribed by law, the declared residential address.

The Association primarily processes Personal Data for the following purposes: maintaining records of individuals who wish to be volunteers and contacting them, receiving donations, and maintaining an animal registry.

The Association processes Personal Data based on the Data Subject’s consent or legal obligations. Consent for Personal Data processing is obtained, for example, when a person applies to be a volunteer or for a seminar. Processing based on legal obligations occurs when a person transfers or receives an animal from the Association, as legal regulations require the Association to process certain types of Personal Data.

According to the Latvian Cabinet of Ministers Regulation No. 407 of May 16, 2006, “Regulations on Animal Welfare Requirements in Animal Shelters and Animal Hotels, Procedures for Transferring Animals to an Animal Shelter or Animal Hotel, and the Registration Procedures for Animal Shelters and Animal Hotels” (“Noteikumi par dzīvnieku labturības prasībām dzīvnieku patversmēs un dzīvnieku viesnīcās, kārtību, kādā dzīvnieku nodod dzīvnieku patversmē vai dzīvnieku viesnīcā, kā arī dzīvnieku patversmju un dzīvnieku viesnīcu reģistrācijas kārtību”), the Association is required to maintain a unified animal registry containing information about the person surrendering the animal (name, surname) and the person receiving the animal (name, surname, declared residential address, and phone number).

Personal Data included in the animal registry is transmitted to the Food and Veterinary Service (Pārtikas un veterinārais dienests) in accordance with the aforementioned regulations.

Data Subject’s Rights

The Data Subject has the following rights regarding their Personal Data processing:

  • To receive information on whether the Association processes their Personal Data and, if so, to access their data;
  • To request correction of their Personal Data if it is inaccurate or incorrect;
  • To withdraw previously given consent for Personal Data processing (withdrawal does not affect the lawfulness of data processing carried out before the withdrawal);
  • To request the deletion of their Personal Data if the data is processed solely based on consent and consent is withdrawn at the time of request;
  • To obtain information about processing purposes and, where possible, the expected retention period of the Personal Data;
  • To contact the Association with any questions or complaints regarding Personal Data processing.

These rights can be exercised by visiting in person (by prior arrangement) or by sending an email to info@patversme.lv. To verify identity, the Association may request the presentation of an identification document or require the request to be sent from an email address previously provided to the Association.

The Data Subject also has the right to submit a complaint regarding Personal Data processing to the Data State Inspectorate (Datu valsts inspekcija) at Elijas Street 17, Riga, LV-1050, email: pasts@dvi.gov.lv, website: www.dvi.gov.lv.

Retention Period of Personal Data

The Association retains Personal Data according to the purpose for which it was collected or until a request for deletion is received from the Data Subject.

Personal Data in the animal registry is stored in accordance with legal requirements for a period of 3 years.

Personal Data Security

When processing Personal Data, the Association applies security measures to prevent unauthorized data processing and ensure data security.
